When to Order Wedding Signs: A Countdown Timeline
Share
Personalized wedding pieces are made to order, so they need more lead time than anything you can pick up in a store. Every sign, runner, sash, invitation and engraved favor in our shop goes through the same three steps: a digital proof, production and delivery. This guide sets out how long each step takes and works backward from your wedding date, so you know when to order each piece.
The short answer
- Welcome signs, memorial signs, table runners and chair sashes: order 6–8 weeks before the wedding. That leaves time for revisions and a buffer for delivery.
- Fabric invitations: order about 12–14 weeks before the wedding, so they arrive in time to address and mail 6–8 weeks ahead.
- Napkin ring place cards with guest names: order once your guest list is final, which means setting an early RSVP deadline.
- The minimum for any piece is 3–4 weeks. If your date is closer than that, contact us before you order.
How long each step takes
| Step | Time | What you can do to keep it moving |
|---|---|---|
| Digital proof | Usually within 1–2 business days of your order; complex designs may take longer | Enter names, date and wording carefully on the product page |
| Revisions | Unlimited before you approve; each round adds time | Reply to the proof promptly, with every change in one message |
| Production | 5–7 business days after you approve the proof | Approve as soon as the proof is right |
| Delivery | Ships from Houston, Texas, and typically arrives 5–9 business days after dispatch | Use an address where someone can receive the parcel |
Add those up and an order with no revision rounds takes about 11–18 business days from order to delivery, roughly 2½ to 4 calendar weeks. Business days do not include weekends or public holidays, so count on a calendar rather than adding the numbers in your head. We currently ship within the United States only.
Your countdown, working back from the wedding
| When | What to do |
|---|---|
| 4–6 months before | Choose your style and colors. Order a single sample invitation if you want to see and feel the linen first. |
| 12–14 weeks before | Order fabric invitations. Allow time to approve the proof, receive them, then address and mail them 6–8 weeks before the date. |
| 8–10 weeks before | Confirm the wording, names and date format for your signs. Ask the venue how signs can be hung or stood. |
| 6–8 weeks before | Order the welcome sign, memorial sign, table runners and chair sashes. Everything with fixed wording can go in now. |
| 5–6 weeks before | Order napkin ring place cards with guest names, once your RSVPs are in. |
| 3–4 weeks before | The last comfortable point for any made-to-order piece. If you are later than this, contact us before you order. |
| The week it arrives | Open everything the day it arrives and check names, dates, sizes and colors. |
| The week of the wedding | Pack signs, stands and ribbons together, and give one person the job of setting them up. |
Piece by piece
Welcome signs
The welcome sign usually has the most wording and the most design choices: size, fabric color, print color and whether you want ribbons or a stand. Give yourself time to try a few wording options before you order. Our welcome sign wording examples and size guide help you decide before the clock starts. When a package includes a stand, ribbons are included too, and metal stands come in gold only.
Memorial signs
A memorial sign often takes the longest to decide, because it involves family. Agree on the names, the wording and, for a photo sign, the photograph well before you order. Our guide to in loving memory wedding sign wording has examples.
Table runners and chair sashes
These usually carry short text: your names, a date or "Reserved". Order them with your signs so everything arrives together and you can check it all at once. Count the chairs you want to mark and measure your tables before ordering; our wedding table styling guide covers runner sizes and sash styles.
Fabric invitations
Invitations are the one piece you need long before the day, because guests need them in hand weeks ahead. Our fabric invitations are 100% linen with a frayed edge, and a single sample is available if you want to see one before ordering the full quantity. Order early enough to receive them, address them and mail them on time.
Napkin ring place cards
Engraved place cards need the final guest list, which sets a tighter timeline: proof, production and delivery take about 2½ to 4 weeks, and you need them before the day. If you want named place cards, set your RSVP deadline early enough to order about 5–6 weeks before the wedding. For a list longer than 25 names, type "List to follow" in the personalization box and reply to your proof email with the full list. If your list will not be final in time, the napkin rings are also available without personalization.
Getting the proof right
The proof is the step you control. A clear proof approved quickly is the easiest way to protect your timeline.
- Check every name letter by letter, including accents and the order of the names.
- Check the date and its format, for example "June 14, 2027" or "06.14.2027", and make sure it is the same on every piece.
- Read the proof aloud. It is easier to catch a missing word that way.
- Send all your changes in one reply. Several small rounds add days.
- Remember that printed gold and silver are ink colors, not metallic foil.
The finished piece is made to match the proof you approve, so a detail that is wrong on an approved proof will be wrong on the piece.
When it arrives
Open the parcel the day it arrives and check everything against your proof. If something is wrong, email hello@sophestia.com with your order number within 1 day of delivery. If a fabric piece has creases from packing, iron it on a low setting from the unprinted reverse side only, and never apply direct heat to the printed design.
If your wedding is less than 4 weeks away
Contact us at hello@sophestia.com before you order, with your wedding date, the pieces you want and your delivery ZIP code. Rush production may be available on most ceremony pieces for an additional fee, and we will tell you honestly whether your date is possible. Delivery estimates for your order are shown at checkout.
